Depending on the source of your Gift Aid sign-ups, there can be a number of factors that can stop you claiming for a Gift Aided transaction with HMRC. The most common of these is incorrect details captured, especially issues with the postcode. Also, every year, you must write out to all donors if you are operating a donated goods scheme, which can be a costly and laborious process.

You may not always have the time to work through any errors to resolve them, or to produce, print, and post your end of year letters – which is where out Gift Aid cleanse, submit, and end of year (EOY) letters service comes in. Our experts can work through your data, correcting any errors, and ensuring that you are claiming for everything that you are eligible to claim for. We will also offer tips and advice on generating more Gift Aid, and handle the end of year letter process for you – sending the letters on your behalf. See below common questions that charities have about this service.
Can I not just manage everything myself?
Yes, there’s no obligation to use this service. All charity customers can claim Gift Aid themselves and produce their own end of year letters.
So what’s the benefit of us using this service?
For over 20 years Tengo have been working with charities, and we know what works in terms of getting the most from the Gift Aid scheme. In addition, we’ve been operating the cleanse part of the service for several years, so we are well-versed in quickly and efficiently managing any issues, such as invalid postcodes. The service gives you an ‘autopilot’ for Gift Aid – the more we help you to claim, the more we make from the service, so you can be sure we’re working in your charity’s interest.
How much does it cost?
Our fee for this is just 7% of the Gift Aid claimed from HMRC, on a monthly basis. So for example, if we claimed on £1,000 of donations in a given month, the Gift Aid amount would be £250, so we would charge you £17.50 for that month. For the end of year letters, the only additional charge is 15p per letter/email, plus 10p per printed page, plus the current UK second-class stamp amount per letter where no email was captured/available.
Are there any other T’s and C’s I should know about?
There is no fixed contract length, you will be invoiced in arrears monthly, the month after a claim is made. Claims will be made once per month at least, if there is a minimum of £100 worth of Gift Aid eligible donations/sales within the month. End of year letters are included, but you must have been using the service for at least the 6 months prior to the end of the tax year to be eligible. You must have a Direct Debit with us to use the service, and if you wish to cancel, a 30 day notice period is applicable.
